You will work as part of an established duty team to independently board vessels, liaising with Ship’s Masters’ & crew to obtain all the required documentation, information and times as instructed/requested by your Agency Manager. You will complete all HMRC/cargo documentation relevant to the port call and will coordinate vessel’s requirements & local services on behalf of Masters & Owners. You will be responsible for calculating accurate pro-forma port costs and for carrying out general office duties to update online information and produce accurate documentation.


Key Responsibilities

  • You will visit ships in port to competently attend all Masters’/crew requirements. This will often involve working out-of-office hours, evenings and weekends as directed by your Agency Manager
  • Be responsible for the accurate preparation, completion and despatch of routine HMRC and ship’s cargo documentation. This will include the accurate preparation and sending of Timesheets and Statements of Fact
  • Coordinate local port services and husbandry requirements on behalf of Ships’ Masters, owners and crew, also handling the funding of husbandry requirements as required. In addition, carry out effective training of Trainee Ships Agents to ensure local port services are coordinated and husbandry requirements are handled proficiently
  • Plan and coordinate ships’ husbandry requirements
  • Prepare and complete ships’ files and input accurate information on ‘Online System’
  • Order port services with guidance/instruction from the Agency Manager
  • Accurately calculate pro-forma port costs and husbandry costs
  • Develop and maintain strong working relationships with ship and shore side personnel
  • Assist the Agency Manager in the training and support of new Trainee Ships Agents
  • The prompt communication of problems, in particular emergency situations in accordance with established Emergency Response Procedures
  • As and when requested travel to and work from other port locations to build up you own knowledge and experience.


General Responsibilities

  • To maintain good and effective working relationships with the Agency Manager, members of the local office staff team, members of the 24-hour support team & work colleagues at other offices
  • Take reasonable care of your own health, safety and well-being, that of your work colleagues and other personnel who may be affected by your actions or omissions
  • Be responsible for promptly reporting accidents, ‘near miss’ incidents, dangerous occurrences and unsafe working practices to the Agency Manager as per established Company health and safety procedures
  • Communication of any updated local information received to the Agency Manager
  • Undertake any other reasonable duties as and when requested by your Agency Manager.



  • Have studied/passed the ICS Foundation Diploma (or at least be in the process of studying to complete this course)
  • Have a full clean driving licence
  • Be highly self-motivated, able to work independently and within a close-knit operational team
  • Have excellent interpersonal and communication skills
  • Be able to demonstrate a meticulous attention to detail
  • Be self-disciplined, reliable and capable of working to set time frames, often out-of-office hours.
